Student process for FCSWS (jobs outside of Heinz College)
Search for jobs on Career Navigator * - Log on to Career Navigator and submit your resume and cover letter to FCSWS approved positions. Interview for the position and inform the hiring supervisor of your federal work study award eligibility (per award letter).
Complete paperwork for payroll system -If you have never worked on-campus or through the Work Study program, you are required to complete your payroll paperwork within 72 hours of accepting your job offer. For more information on the required documents and directions to Payroll, click here. Once you have completed your paperwork at Payroll Services, you are required to submit a copy of your employment eligibility (I-9) form (provided to you by payroll services) to the Heinz College's Office of Fiscal Management, Hamburg Hall Room 1107.
Submit a Student Information Form and FCSWS Student Acknowledgement - After you receive a job offer, but before you can begin working, please have your employer complete the Hiring Supervisor section of your Student Information Form (excluding the GM and GL fields) and you must complete the Student Section in its entirety. You must also complete a FCSWS Student Acknowledgement anddrop off both of the completed forms in Heinz College Office of Financial Aid, Hamburg Hall 1119. Paper copies of the Student Information Form can be obtained through the Office of Fiscal Management, Hamburg Hall 1107.
Complete and sign your FCSWS bi-weekly timesheets – The FCSWS student’s hiring supervisor will be responsible for ensuring accurate and timely submission of signed FCSWS bi-weekly timesheets. The supervisor will receive an email regarding the timesheet process, a copy of the student FCSWS timesheet, a pay schedule and submission instructions. Students should keep a copy of timesheets for their records.
Direct deposit is required for your pay. If you have not already signed up for direct deposit, you will need to do so. The University’s on-line pay system is called iPay. iPay information is available at Payroll Services.

If you answered YES to BOTH of the above questions, please have the employer contact Lanae Meyer, Financial Aid Coordinator, in the Office of Financial Aid to complete the required FCSWS paperwork.
Please note: You cannot begin working until you receive email notification that your job has been approved through the FCSWS program. If you begin working before this time, it is at your own risk and you may not be paid for any hours worked before approval.
