Room Reservation - 25 Live
Hamburg Hall room reservations are managed by a staff member during normal business hours. Please review the information below for instructions on how to submit a request, and what guidelines must be followed by Heinz College students, Heinz College Faculty/Staff, and non-Heinz affiliates.

Note: 25Live works best and fastest in Google Chrome, Microsoft Edge, and Mozilla Firefox.
- Log into 25Live using your Andrew ID and password.
- 25live Pro will display a home dashboard upon login.
- The dashboard provides quick searches for finding available locations and tracks any upcoming events. The dashboard can be customized to include other widgets, including starred locations, by selecting Customize Dashboard.
- To create a new event, choose either "Create an Event" from the dashboard or the "Event Form" at the top of the screen.
- The event form will request specific information. Click on the blue i-circle for more information and directions. You will need to enter:
- Event Name
- Event Type - Select one event type that is ‘Heinz’ related – i.e. Heinz Meeting, Heinz TA hours, etc.
- Primary Organization - Enter your club or organization by typing the first few words and select from the dropdown.
- Note: Be sure to star your organization to save time with future requests.
- Expected Head Count - Number of people expected to attend your event.
- Date and Time - Use additional time for pre and post event times.
- Location - Find locations using public searches of various scheduling spaces or enter keywords to find your desired space. Spaces can also be searched by category, feature or layout.
- For Hamburg Hall spaces, search for ‘HBH’
- Enter any facility needs, such as media technology or room set ups that are currently not present in the room.
- Agree to Location Policies.
- Preview and save.
- Please note that at this stage, the event is not necessarily confirmed; it is only routed to the space scheduler for review and either approval or denial.
- Requests for space will be reviewed by a space scheduler, who may request further information. Each scheduling office has slightly different policies. Most events will be responded to within 2-3 business days unless you have requested a classroom/lecture hall space where requests may be held until course offerings are confirmed at the beginning of the semester.

- Student room requests may be no longer than 90 minutes.
- Please submit room reservation requests at least 48 hours prior to the event.
- Confirmation for Heinz rooms may take up to 24-48 hours. Confirmations are only sent Monday through Friday from 8:00am-4:30pm.
- Your request is verified when you receive a room confirmation email from the Heinz College.
- For Heinz College TA office hours, please include your course number in the title of your request (ex: 92-100 TA Office Hours).
- Rooms can only be requested for the current semester. Requests for dates in future semesters will be denied or placed on hold, pending final classroom schedule.
- Student room requests can be made no more than 30-days out from the date of submittal.
- The interview rooms (A007 A-J) are controlled by Career Services. Their primary purpose is for employer interviews. If available, students may reserve them, but no more than 15 days prior to the date of room request submittal.
- Reservations are held for the first 15 minutes of an event. After which, empty rooms become available for use.
- Only make one request for your event. Users that make multiple room requests for the same event may risk long delays. If a user requires multiple rooms for an event, coordinate with hzrooms@andrew.cmu.edu before you start the requests.
- If you rearrange a room please return it to its original configuration so that the room will be ready for its next usage.
- If your group is reserving a table in the foyer, please make sure your area is cleaned up following the event, otherwise it may prevent you from reserving an event in the future.
- Dispose of all signs, papers, and waste from your event. If refreshments have been served, you MUST clean up the room before you leave. Please encourage people to recycle. Failure to do so may preclude you from reserving Heinz rooms in the future.
- If serving food to a group please contact Heinz Facilities Management at 412 268-4739 or Heinz-facilities@andrew.cmu.edu prior to your event to set up trash and recycling receptacles.
- Repeated reservation of space left unused and not cancelled may result in the suspension of your ability to request space.
- All requests are monitored. Excessive use of space by an individual or group may be questioned for justification.
- There may be fees associated with some services and resources requested by the user. All fees will be stated before the room confirmation is made.
- If your reservation is for a Saturday or Sunday, we suggest arriving 20 minutes before your event to ensure the classroom is unlocked. If the room is inadvertently locked, contact Security at 412-268-2323 to open the room.

- If you are looking to submit a request for a Registrar controlled room, please contact hzrooms@andrew.cmu.edu.

- Room reservation requests can only be approved for the current semester. Future room reservation requests may be denied or put on hold until the subsequent semester’s courses are verified in 25Live.
- To reserve the Teresa Heinz Rotunda or Collaborative Space, please email hzrooms@andrew.cmu.edu.
- Rotunda furniture: If you are reserving the Rotunda for an event and need to have the regular furniture removed from the room, please contact Heinz-facilities@andrew.cmu.edu or call (412) 268-4739 at least 3 weeks in advance to arrange for movers. There will be a fee associated with this service.
- Rotunda and Collaborative Space note: Please note that these spaces are not private. The Rotunda has a cutout in the floor that opens to the Collaborative space below; therefore, sound may travel between the two spaces.
- If serving food: Contact Heinz Facilities Management at (412) 268-4739 or Heinz-facilities@andrew.cmu.edu 48 hours prior to your event to set-up trash and recycling receptacles.
- To request tables and chairs: Please email Heinz-facilities@andrew.cmu.edu at least 2 days prior to event.
- Video conference or classroom media requests: Please email Heinz-computing@andrew.cmu.edu.
- Heinz College Room Policies:
- Bring this confirmation with you during your scheduled event. This confirmation verifies that your event was officially scheduled in this classroom.
- If you have reserved a classroom, please note that regular course meetings take priority over all other meetings. In the event that we need the classroom for a regular course meeting, we will advise you as soon as possible and make our best effort to find an alternate location.
- Furniture must remain in the classroom. You are welcome to re-arrange tables and chairs for your event; however, please return all furniture to the normal classroom configuration.
- Please make certain the room is clean after your event. If the room is not clean, a cleaning fee may be assessed, as well as your future ability to reserve space.
- If your event is for 90 minutes and you need pre and post set-up time, please include it in the time you request. Remember there maybe a class in the room before/after your event.
- Weekend reservations: If your reservation is for a Saturday or Sunday, we suggest arriving 20 minutes before your event to ensure the classroom is unlocked. If the room is inadvertently locked, contact Security at (412) 268-2323 to open the room.
- Cancellations: To cancel a reservation, please locate the original room confirmation e-mail and reply back to: hzrooms@andrew.cmu.edu. Add, “Cancel” in the subject line of the email so we can quickly identify it. Please cancel a room with 48 hours’ notice of the scheduled event.

- Reservations in Hamburg Hall are typically limited to Heinz College affiliates. If you are interested in reserving space in the building, please contact hzrooms@andrew.cmu.edu for approval.
- Heinz College Room Policies:

- Room setup: You are welcome to re-arrange tables and chairs for your event; however, please return the furniture to the normal configuration when you are finished. If you need assistance arranging and re-arranging the space at the conclusion of your event, please submit a request through FMS.
- Room cleanup: Please make certain the room is clean after your event. If the room is not clean, a cleaning fee may be assessed, as well as your future ability to reserve space. This includes garbage removal if food/drinks are served, and possibly wiping down surfaces or mopping, depending on the nature of the event and the space in use.
- Access to Executive Education suite (HBH 1212 and HBH 1214): These rooms are not on the unlocking schedule for the rest of the building, and remain locked throughout the day. Heinz Faculty and Staff can access the space using their CMU ID cards to tap at the entry panels, or by key. If you need help accessing the space, please contact Heinz-facilities@andrew.cmu.edu or (412) 268-4739.
