Obtaining an Andrew Account:
Your Andrew account is your gateway to the computing environment at Carnegie Mellon and provides access to email, network registration, public computer labs, Workday (CMU's global human resources, payroll, benefits and time tracking system) and other resources.
- Prior to assigning your Andrew account, Identity Services may send you an email asking you to complete a Prior Affiliation Questionnaire (PAQ). If you have a prior affiliation with the university (i.e., you are a former CMU student or a rehire), you may be required to complete the PAQ.
- Once the PAQ is completed, you will receive an email with instructions for setting up your Andrew ID/password and DUO 2fa. You will not receive access to your Andrew account until these tasks are completed.
- Your Andrew ID is assigned by Identity Service and cannot be changed.
- If you already have an Andrew ID from prior employment or are an alumnus, contact Identity Services for instructions on how to set up DUO 2fa or to reset your password.
Workday Onboarding Tasks:Workday provides Carnegie Mellon University with a unified, global human resources, payroll, benefits and time tracking system designed to meet the needs of higher education.
- Once you have your Andrew ID/password and DUO 2fa, access Workday.
- Log in to Workday by entering your Andrew ID and password.
- Once you have logged in to Workday, complete all of your onboarding tasks [pdf]*, or you can wait until your first day and complete the tasks during a scheduled session.
- Workday Quick Guides are available to assist with the completion of your onboarding tasks.
Form I-9 and Verify:Federal law requires employers to verify the employment eligibility and identity of all employees hired to work in the United States through a Form I-9.
- Form I-9 Section 1* must be completed in Workday no later than your first day of employment.
- Form I-9 Section 2* must be completed in person within three days of your employment start date. Review the original documents from the Form I-9 List of Acceptable Documents [pdf] required to complete Section 2.
- Employees assigned to work on a federally funded project must also be E-Verified.
CMU ID Card:Your CMU ID Card will give you access to:
- Campus buildings and several campus parking garages
- Pittsburgh Regional Transit & Campus Transportation (if applicable, you may not be eligible for PRT benefits)
- Fitness facilities and programs
- Events on and off campus
- PNC Virtual Wallet
- You can either upload a photo for your CMU ID Card before your first day or have your picture taken at The HUB on your first day. The CMU ID Card is not issued until your first day.
Benefits Overview:As an adjunct instructor, you may not be eligible for benefits. For more information about benefits eligibility, please visit: https://www.cmu.edu/hr/benefits/eligibility/index.html.
- If you are eligible for benefits:
- Many of your benefits elections are time sensitive. The Benefits Guide [pdf] is the best resource to learn about election deadlines and the wide range of health and welfare benefits offered at CMU.* (*Members of the AFL-CIO Local 95 — International Union of Operating Engineers are covered under their own contract, which specifies their benefits coverage options.)
- If you plan to add dependents to your benefit elections, you will need to provide supporting documentation [pdf] verifying their relationship to you. You should bring this documentation on your first day.

- Login to your Andrew email account: Google Mail. Important communications from Heinz and CMU are sent to your Andrew email account. Please check this regularly to stay up to date!

Canvas:
Canvas is the learning management system used by CMU.- Request a Canvas site for your course here.
- Access a training module to learn the basics of setting up your course in the system:

Zoom:
Zoom is the application used for web conferencing, remote course sessions, virtual office hours, etc.
- You can download the Zoom app here that is specific to your CMU account.

Respondus:
Respondus offers a lockdown browser and Monitor (online proctor) that can be fully integrated within Canvas.The CMU download of this lockdown browser directs students to the Canvas login where they can access any quizzes or assessments directly. The CMU download is available here: https://www.respondus.com/lockdown/download.php?id=959744705The lockdown browser prevents students from opening other websites or applications while an exam is underway.Respondus Monitor offers remote proctoring by using audio and video recordings using a student’s webcam (can be integrated in their laptop or a separate webcam hooked up to their computer). The system flags recordings with suspicious activity, i.e. if a student leaves the computer screen, accesses other materials on their work surface, etc.

CMU's Student Services Suite (S3):
S3 Faculty Course & Grade Information is a grade submission program that allows instructors to electronically submit or change grades within a current semester.

Heinz College Faculty Dashboard:
The Faculty Dashboard is the one place where you can update your course description and syllabus, review applications for available TA positions to note your preferences, and confirm your teaching schedule.

- The Course Information Application is used to make changes to your course descriptions, learning objectives, and upload syllabi. Here is a sample of what your screen may look like. Only courses where you are listed as an instructor will be available on your Faculty Dashboard.
- You can use this application to update any relevant course descriptions, learning outcomes, pre-requisites, etc. You can save submissions even if not all pieces have been updated, but you cannot confirm a course until all required fields are complete. Once you confirm a course in the system, the course will no longer appear on your dashboard for you to edit.

Course deadlines:
Heinz College follows its own academic calendar. The add/drop/pass/no pass/audit deadline for mini courses is typically the fifth day of the semester, and the tenth day of the semester for full semester courses.
Deadlines for 2024-2025 AY:- Mini 1 add/drop/pass/no pass/audit: 8/30/24

Syllabi:Heinz College collects updated syllabi for all courses each semester.
- Please upload to the appropriate course in the Faculty Dashboard ( https://eforms.heinz.cmu.edu/facdashboard/). Please login using your Andrew ID and password. You do not need to upload a syllabus for any systems or capstone projects, independent studies, or executive education (EE-XXX) courses.

Teaching Assistants (TAs):Heinz College uses an online application process to elicit student interest in TA positions, as well as for instructors to indicate their preferences.
- To be eligible to work as a TA, students must be in good academic standing, and have no academic integrity violations on their record. Generally, students who previously completed the course should have earned a B+ or higher.
- In most cases, TA assignments are based on course enrollment. Generally, one TA is assigned for every 20 students registered in a course.

Final exam schedule:Heinz College creates a final exam schedule for the fall and spring semesters. If your course does not fit that criteria, you can use the last week of class to hold your exam. If you need to schedule an exam outside of your normal class time either to combine sections or to set aside extra time, please contact Heinz Academic Services ( heinz-academic-services@andrew.cmu.edu).

Parking:Carnegie Mellon has parking lots throughout campus. Employees and students must pay to park on campus. They must enroll in a parking plan during the summer months and the lots are restricted for their use during the daytime. Parking in the East Campus Garage is free weekdays after 5:00 PM, and Saturday and Sunday. Street parking is free of charge on weekdays and Saturday after 6:00 p.m., and all day Sunday. You can purchase a day pass for the East Campus Garage on Forbes Avenue and Beeler Streets.
ID Cards
An ID card is necessary for access to Hamburg Hall late at night or on Sundays. Anyone with a university ID card may use facilities in the University Center (swimming pool, squash and racquetball courts and fitness machines), is eligible for a discount on drama tickets and computer equipment, and may check out books from Carnegie Mellon and Hillman (University of Pittsburgh) libraries. To obtain an ID card, please visit the Hub, located on the lower level of Warner Hall.
Office space:
We do not generally provide office space for Adjunct instructors, as space in Hamburg Hall is extremely limited. If you need a space in Hamburg Hall to hold scheduled office hours, please follow the link in the next section to request a room.

- If you need a weekly meeting space or a room for an ad hoc event in Hamburg Hall, please use the University’s room reservation system: 25Live ( 25Live). The acronym for Hamburg Hall in this system is HBH.
